Role Overview

GRC has an exciting opportunity for a suitably experienced applicant to join the Wellbeing and Safety Team for a fulltime fixed term position for 12 months. The Administration Officer, Wellbeing and Safety, plays a critical role in providing high quality administrative and customer support for the Councils WHS function.

Reports directly to the Manager, Wellbeing and Safety.

Maintains close collaborative working relationships with the Wellbeing and Safety Team, and the People and Culture team.

Essential Knowledge & Skills:

  • Proven experience in an administrative role, with demonstrated capability to manage a variety of tasks efficiently.
  • Strong verbal and written communication skills, with the ability to engage effectively with staff at all levels
  • Fast and accurate typing skills with attention to detail
  • Use Microsoft products proficiently
  • Demonstrated ability and willingness to learn, use, and innovate with digital tools and technologies
  • Excellent organisational skills, with the ability to use initiative, and make sound decisions, especially when handling confidential or sensitive matters.
  • Strong time management skills, with the ability to prioritise tasks effectively and meet deadlines
  • Queensland ‘C’ Class driver’s licence that is current and maintained.
  • General construction induction (white/blue card)

Essential Requirements:

  •       Provide day-to-day administration support to the Wellbeing and Safety team and the Manager, Wellbeing and Safety, ensuring effective and efficient operations within the WHS section.
  • Provide customer service to internal teams and external clients, ensuring smooth operations within the WHS section.
  • Maintain accurate records of WHS documents and systems, including documentation and data related to workers compensation and injury management, ensuring compliance with applicable protocols and policies.
  • Manage a shared inbox, addressing WHS-related questions, providing internal referrals, and ensuring proper documents and email filing.
  • Assist with planning and organizing WHS communications, events, and Safety Committee meetings, including gathering agenda items and taking minutes.
  • Support WHS Systems management and implementation through activities such as:

            a.  Assisting the setup and ongoing maintenance of a cloud-based WHS management system (BeSAFE)

b. Monitoring systems and processes to ensure data integrity including oversight/triage of incident and hazard reports as well as corrective action management in BeSAFE.

  • Other duties as directed by the Manager, Wellbeing and Safety.
