Role Overview

The position will contribute to an effective team operating Council’s water assets to ensure the highest quality of service to customers whilst complying with WHS, industry guidelines, Council workplace policies and procedures, Council’s Customer Service Standards and statutory requirements.

The position will provide administrative, customer and technical assistant services to all areas of the Water team. This includes assisting with procurement and purchasing activities such as raising purchase orders, liaising with suppliers, processing invoices, and supporting contract and inventory management in accordance with Council’s procurement policies and procedures.

It will support the Manager and Coordinators in identifying and coordinating business streamlining and improvement opportunities, and assist with Water business planning, reporting and management of service requests.

 

Essential Knowledge & Skills: 

  • Demonstrated interpersonal, oral and written communication skills, with the ability to consult, communicate and problem solve effectively in a multidisciplinary environment within set guidelines.
  • Demonstrated ability in Microsoft Office applications and the ability to produce high quality documents with attention to detail.
  • Demonstrated knowledge of office procedures including time management, planning and organisational skills to maintain deadlines.
  • Demonstrated ability to work independently, or in a team, in a professional and positive manner with the ability to be tactful and discrete when dealing with matters of a sensitive nature.
  • Knowledge and demonstrated ability in the requirements of financial reporting and budgeting.
  • Ability to efficiently and effectively engage with a broad range of key stakeholders both within and external to the Council
  • Queensland ‘C’ Class driver’s licence that is current and maintained.

Essential Requirements: 

  • Provide support with commercial activities in Water, including contracts, service agreements, commercial partnerships, stakeholder engagement and communication.
  • Stakeholder engagement and communication, engaging with and demonstrating an understanding of the needs of all stakeholders to contribute to the delivery of key organisational imperatives, capital projects and escalated customer complaints
  • Provide support for preparation of memos, minutes, invitations and Council agenda documents.
  • Customer Liaison (domestic and commercial customers, internal service providers, industry regulators and other Council stakeholders) and internal service level agreement management and monitoring including coordination of staff members and contractors.
  • Implement and deliver corporate contract development, tendering and contract administration management adhering to Council’s contracting arrangements to ensure consistency of documentation and compliance with policies and procedures.
  • Monitor Commercial agreements including Recycled Water Agreements, Commercial in Confidence Agreements and other Agreements as they become applicable.  
  • Understanding of and assisting with regulatory reporting requirements and systems to ensure reporting occurs within defined timeframes.
  • Contribute to an effective team operating Council’s water assets to ensure the highest quality of service to customers whilst complying with WHS, industry guidelines, Council workplace policies and procedures, Council’s Customer Service Standards and statutory requirements.
  • Deliver timely and accurate administration, planning and project support functions including procurement, word processing, data entry, report writing, correspondence and records management to meet the business needs of the Water team.
  • Promote a culture of continuous improvement by reviewing business systems and processes. Ensure all operations comply with workplace health and safety, quality assurance, risk management, and environmental maintenance standards.
  • Liaise closely with internal teams and external stakeholders to ensure a responsive, high-quality service that enhances the customer experience.
  • Foster positive relationships within the Water branch and across Council directorates.
