Remuneration: Annual salary commencing at $82,559, plus up to 14% superannuation

Role Overview
Provide high-quality administrative support to the Coordinator Building and Facilities while enhancing the overall functioning of the Facilities Management and Maintenance team. Collaborate with all managers to identify and coordinate business streamlining and improvement opportunities, and assist with business planning, reporting, and the management of service requests related to Building and Facilities operations.
Essential Knowledge & Skills:
- Sound experience in general administration preferably within a community facility or asset management environment.
- Demonstrated interpersonal, oral and written communication skills, with the ability to consult, communicate and problem solve effectively in a multidisciplinary environment within set guidelines.
- Demonstrated ability in Microsoft Office applications and the ability to produce high quality documents with attention to detail.
- Demonstrated knowledge of office procedures including time management, planning and organisational skills to maintain deadlines.
- Demonstrated ability to work independently, or in a team, in a professional and positive manner with the ability to be tactful and discrete when dealing with matters of a sensitive nature.
- Knowledge and demonstrated ability in the requirements of financial reporting and budgeting.
- Ability to efficiently and effectively engage with a broad range of key stakeholders both within and external to the Council.
- Demonstrated knowledge of or the ability to acquire records management policies and procedures (Local Government preferred).
- Queensland ‘C’ Class driver’s licence that is current and maintained.
Essential Requirements:
- Execute general administrative tasks for Facilities Management and Maintenance with discretion and sound judgment, while consistently evaluating and enhancing business systems and processes for improved efficiency.
- Assist with work scheduling and dispatch according to priority using the scheduling management system, while developing and implementing regular maintenance schedules to minimise downtime and enhance customer service and operational efficiency within the Council's systems.
- To acquire records management policies and procedures.
- Provide administrative support to the Building and Facilities team.
- Prepare meeting agendas, document minutes, and coordinate meeting arrangements.
- Assist with job tracking and expense management.
- Provide support to other officers during peak workloads as directed.
- Perform additional duties as assigned by the Coordinator of Facilities Management and Maintenance.
