Remuneration: Annual salary commencing at $75,897.64 (pro rata)

An opportunity exists for a skilled professional to provide high level support the CEO in the daily operations of the organisation. This fixed term engagement is for a period of up to 6 months and is required for an immediate start.

What we are looking for?

We are seeking an experienced executive assistant, who is able to demonstrate strong customer service and time management skills, as well as a high quality confidential executive secretarial, project management and administrative support services.  

As Executive Assistant to the Director CEO you will be responsible for:

  • Provide high level of confidential executive secretarial and administrative support services to Chief Executive Officer using a considerable degree of initiative, confidentiality and sensitivity in the performance of work.
  • Coordinate and manage the workload priorities of the Chief Executive Officer through diary and correspondence management including appropriate tracking and deadline monitoring systems.
  • On behalf of the Chief Executive Officer and within the level of authority, liaise, facilitate, direct, negotiate and request information, responses and/or seek resolutions from the Executive Team, Managers and Coordinators to ensure the effective facilitation of timelines and deadlines.
  • Assist the Chief Executive’s liaison with the Mayor, Councillors and external customers through strong interpersonal, customer service and problem solving skills.

To be successful, candidates will require:

  • Minimum of three years’ experience in an executive support role.
  • Demonstrated ability to operate with a high level of independence, with highly developed time management, organisational and multi-tasking skills.
  • Exceptional verbal and written communication skills with the ability to manage confidential matters with discretion.
  • Undertaking other tasks and duties as required consistent with the principle objectives and responsibilities of the position.
  • The ability to deal effectively, professionally and with courtesy to people at all levels, internally and externally. This will potentially involve disgruntled individuals.
  • The ability to demonstrate initiative, work autonomously and cooperatively within a team based environment.
  • Strong working knowledge of computer programs including Microsoft Word, Excel and Adobe Acrobat Pro with the demonstrated ability to learn new programs in a timely manner.
  • Strong working knowledge of complex corporate enterprise management and records management applications.
  • Demonstrated ability to effectively manage an executive office and provide a high level of support to senior officers.
  • Demonstrated commitment to continuous improvement.

To be successful, candidates must be able to demonstrate strong customer service and time management skills, as well as high level interpersonal and communication skills to work effectively with all relevant internal and external customers and stakeholders.
